Job Description

We are seeking an Executive Assistant (EA) who will provide expert administrative support to the Vice President of Human Resources (VPHR) in facilitating the accomplishment of HR goals. The Executive Assistant must be able to work in a demanding, fast-paced, and collaborative work environment. As a professional representative of the Office of the Vice President for Human Resources, the EA exercises independent judgment, demonstrates initiative, multi-tasks, and manages many competing priorities. This proactive individual anticipates future needs, demonstrates leadership, responsiveness, diplomacy, strong customer service, independent thinking, and extraordinary judgement in a deadline-driven team environment.


The Executive Assistant represents the Office of the Vice President of Human Resources to a wide range of external and internal constituencies. The successful candidate will be a detail-oriented team player who is committed to responsiveness and customer service. The Executive Assistant will deal regularly with highly sensitive, privileged and confidential subject matter and is expected to maintain a high level of confidentiality.


Specific Duties & Responsibilities

  • Manage the calendar of the VPHR, including meetings, appointments, and events; schedule and organize meetings; prepare the VPHR for meetings and presentations, work with other staff and offices to ensure briefing materials are prepared appropriately, include necessary information, and are on time. Coordinate with other administrators and leaders to resolve scheduling conflicts, prioritize requests, and confirm meeting details and expectations for the VPHR. Be proactive in identifying and resolving scheduling conflicts.
  • Keep the VPHR on schedule and abreast of changes and high-level concerns, as necessary, throughout each day.
  • Triage and manage information flow and priorities by flagging important action items and timelines and prioritizing and facilitating decision points.
  • Prepare the VPHR for a variety of key/important meetings, presentations, discussions, etc., including researching and gathering critical information and intelligence on issues, creating reports, presentations, preparing briefings, developing and proposing agenda items, conducting necessary follow-ups, and briefing the VPHR on the state of affairs, critical points and sensitivities.
  • Prepare materials to ensure the VPHR is fully prepared for all meetings.
  • Organize high-level meetings with multiple constituencies and disseminate corresponding meeting materials, as needed.
  • Oversee incoming correspondence and requests for the VPHR’s attention; triage to other staff members as appropriate; prioritize items that need immediate attention; and prepare and edit letters, memos and other correspondence for the VPHR.
  • Coordinate travel and itineraries for the VPHR in a manner that promotes the best use of time and promotes efficiency. Prepare travel and accommodation arrangements and process all expenses and reimbursements.
  • Develop institutional relationships to help facilitate the work of the VPHR and her office.
  • Interface with key leadership and leadership offices across the university and health system.
  • Represent and speak on behalf of the VPHR, with direction from the VPHR on matters related to scheduling and prioritization of meetings.
  • Participate in the VPHR’s team meetings; in conjunction with other team or committee members - contribute to discussions and recommend effective solutions and courses of actions as appropriate.
  • Anticipate and problem-solve issues and concerns impacting the VPHR.
  • Organize and maintain electronic files. Assure that materials are accessible in a timely manner and kept confidential.
  • Encourage effective, positive office communication and atmosphere.
  • Provide additional administrative support to the VP as required. Perform general office management duties necessary for the efficient operation of the Office of Vice President for HR.
  • Perform additional duties as assigned.


Minimum Qualifications
  • Bachelor's Degree.
  • Five year's experience in providing progressively responsible administrative support with experience working on a wide variety of special projects and special assignments.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Outstanding interpersonal, customer service, and organizational skills with exceptional attention to detail.
  • The ability to effectively communicate and engage across all levels of staff, faculty, and leadership.
  • Excellent experience exercising good judgment, maintaining confidential information, and managing more than one task simultaneously in a dynamic, fast-paced, professional environment.
  • Exceptional written and verbal communication skills.
  • Ability to make independent decisions using careful judgment and action to determine priorities.
  • Adept at time management and prioritization.
  • Significant experience with Microsoft Office products, especially Outlook and Power Point.
  • The desire to learn and engage with new technology to enhance efficiency and productivity.

Starting Salary Range: $24.25 - $42.50 HRLY (Commensurate with experience)
