Position Summary/Purpose of Position:

This position is located at the University of Maryland Extension Office in Prince George’s (Clinton), Maryland.

The position will serve as the assistant to the Capital Area Extension Director, including budgets, regular contact with county government, reviewing Concur Requests/Reports and Travel. Preparing annual reports, supporting volunteers and serving as the front line person to the office.

Minimum Qualifications:

Education:
High School Diploma or GED.

Experience:
3 years experience providing administrative support.

Required Knowledge, Skills, and Abilities:
  • General knowledge of and skill in the practical application of generally accepted office practices and procedures. 
  • Ability to communicate effective both orally and in writing. 
  • Ability to proofread and edit written documents. 
  • Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software. 
  • Ability to understand and follow oral and written instructions. 
  • Ability to interact effectively with internal and external parties in a courteous and efficient manner. 
  • Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

Other:
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

This position is subject to a Criminal History Record Check. Employment is contingent upon successful completion and clearance of the Criminal History Record Check.

Additional Information:

Responsibilities:
  • Serve as the administrative support to the Area Extension Director, including preparation and management of county budget, including all paperwork and data entry.
  • Prepare confidential correspondence and reports.
  • Have a working relationship with county government officials and employees.
  • Mentor and advise new staff.
  • Management of University accounts including purchasing and travel cards.
  • Overall management of the EAC accounts including reconciliations of accounts, advise on FSNE, Master Gardeners, 4-H, Ag Marketing, other staff on practices and procedures related to fiscal management.
  • Maintaining paper and electronic filing system which meets the office needs.
  • Ordering supplies, maintaining postage meter and other equipment.
  • Receive and screen calls and visitors
  • Provide requested information written or orally to clientele.
  • Draft and sign routine correspondence. Edit, format and revise variety of documents and materials created by others.
  • Proofread for grammatical, typographical and basic content errors.
  • Receive and read incoming correspondence and information. Research and summarize information and source materials for reports and flyers. Maintain websites and electronic newsletters.
  • Facilitates problem resolution and gives direction and instructions based on authority delegated by the supervisor.
