Working with and under the supervision of Vice President of Academic Affairs, the full-time the Academic Affairs Operations Manager assists the division to plan, develop, manage, and administer resources and record keeping for projects, programs, and personnel associated with the various functions that fall under the auspices of Academic Affairs. Primarily the resource manager oversees the budgetary process, helping to resolve issues and concerns.

DUTIES: Under the supervision of the Vice President of Academic Affairs the Operations Manager will:

  • Develop, prepare, maintain and trouble shoot a budgetary system to manage a budget and work on budgetary issues (planning, purchasing, payments, transfers) with Divisional Deans and Directors.
  • Supervise AA Data Analyst position.
  • Calculate DCE Faculty Salaries and resolve related problems with faculty, deans, and human resource personnel.
  • Develop and manage the VPAA's cost centers.
  • Work closely with the college Purchasing and Payable agents, Budget Analyst, Comptroller and Associate Comptroller, Payroll Supervisor, CIO, and occasionally the CFO.
  • Work with vendors on getting quotes, comparing quality and cost and work closely with organization managers & vendors to assure that orders are correct, complete, and within budget parameters.
  • Convene, chair, and serve on committees as needed.
  • Support and participate in audits of all types as needed and initiate, manage, and support special projects.
  • Support students by collaborating with Deans and directors to identify resources needed to improve learning environments and assisting with short- and long-range planning on classroom improvements.
  • Manage the Day Faculty Evaluation Process.
  • Assist staff with the DCE faculty evaluations.
  • Work with IT to improve reports and access to reports within the Student information system (currently Banner) and train colleagues in home-grown and other aspects of Banner.
  • Assist staff and managers with project budgets and planning other resource needs.
  • Gather data, design, and prepare resource reports for the VPAA.
  • Provide support and training for the use of budget and resources tools, processes, and systems for Academic Affairs.
  • Track, Manage and automate Signature Authorizations
  • Maintain the ASA DocuSign database and templates.
  • Provide training in the use of DocuSign.
  • All other duties as assigned

OTHER DUTIES AND RESPONSIBILITIES:

  • Work with the Academic Deans in the creation of the semester faculty workload computations
  • Manage the maintenance of the DCE seniority lists and reconcile to the college email system.
  • Manage the maintenance of the DCE Argos reports
  • Manage the DCE salary exceptions list.
  • Manage the faulty Salary Step database.
  • Manages the maintenance of the Commonwealth Honors Attribute database.

Additional Information:

  • The Academic Affairs Resource Manager works closely with the Academic Affairs Division leadership on a regular basis.
  • This position works with the Purchasing, ITS, Finance, Budget, Student Affairs and Facility Departments on a regular basis.
  • This position works closely with vendors requesting quotes, payments and resolving issues.

 

Job Requirements:


SKILLS/EXPERIENCE/TRAINING REQUIRED:

  • Demonstrated knowledge of budgetary planning, development, maintenance and spending required and demonstrated ability to understand, plan, manage and communicate about the budget effectively.
  • Computer Literacy with a mastery-level use of Microsoft Office software required (Word, Excel, PowerPoint), and mainframe databases and the ability to pick up new programs quickly.
  • Demonstrated ability to maintain professional relationships with members of the college and the community.
  • Successful record of initiation, review, analysis, development and implementation of new systems and more effective and efficient ways to accomplish projects, tasks and serve constituencies must be demonstrated and skill at teaching others.
  • Excellent written and oral skills required.
  • Demonstrated ability to communicate and trouble-shoot effectively with staff, faculty, students, and members of the community.
