Essential Job Duties
Duties include but not limited to:
- Develops and implements operational strategies for handling reservation requests and managing event services.
- Prioritize requests based on event size, complexity, and venue requirements.
- Confirms existing reservations with clients prior to events.
- Meets with clients for complex events to determine event setup and audio-visual needs.
- Coordinates event services with other campus partners, including but not limited to catering, streaming/recording, security, transportation, fire and life safety, insurance and risk management, grounds, etc.
- Serves as the key point of contact in the department for Emergency Management and Mission Continuity on high risk events and day of risk mitigation.
- Determines event staffing needs based on the NC State Student Center’s guidelines and event complexity.
- Coordinates with Building Services regarding housekeeping, maintenance, loading dock, and information services.
- Coordinates with Catering regarding setup and access to event space.
- Responsible for hiring, training, scheduling, and evaluation of the staff member.
Other Responsibilities
- Model the Division’s mission and values, introduce the Division’s mission and values to the employees, and foster a positive, cohesive workplace and congeniality among co-workers.
- Understand the goals and culture of the organization, and understand how employees’ work activities, teamwork, and customer service impact clients.
- Work with your supervisor and colleagues to understand these goals and the culture.
- Adhere to all University policies, procedures, and regulations, and Division standard operating practices and protocols.
- Perform other duties as assigned to ensure Student Centers business needs are met.
Minimum Experience/Education
Graduation from high school and two years of progressively responsible administrative/office management experience; including some experience as a lead worker; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Other Required Qualifications
- Knowledge of office management techniques and familiar with office technologies with the ability to learn additional software.
- Strong written and verbal communication skills to effectively communicate with customers, peers and supervisors; and professionally communicate with multiple levels of employees within the University.
- Must follow written and verbal instructions.
- Must have excellent public interaction and provide outstanding customer service, including the ability to remain professional and respectful under pressure when dealing with difficult situations, to team and customers.
- Excellence in completing all tasks and performance goals.
- Ability to set priorities.
- Ability to work independently in a high stress, fast-paced environment with strict deadlines.
- Ability to exercise judgment and apply policies and procedures, ability to establish and maintain effective working relationships with staff, management and the public.
- Required to be proficient with the use of a computer and have the ability to learn new software.
- Team environment oriented.
Preferred Qualifications
- Experience working in a University setting.
- Experience with event planning.
Required License or Certification
- Valid NC Driver’s License required within 60 days of hire. State vehicle furnished to drive to events or other Campus Enterprises locations.
