About the Role:

Supports the logistical planning and execution of meetings and conferences, based on guidance from the meetings and conferences lead within Marketing Operations, thus ensuring event goals and objectives are achieved, while maintaining a high level of customer satisfaction. Coordinates event logistical planning, including event registrations, rooming lists, food and beverage, equipment and other logistical requirements. Administers event contracts and purchase requests. Collaborates with internal stakeholders to identify logistical needs and adheres to and tracks event budgets. Provides onsite support to ensure meetings and conference operations run smoothly.

Your Contributions (include, but not limited to):
  • Processes meeting and conference contracts and purchase requests, including tracking against approved event budgets

  • Coordinates meeting and conference logistics including but not limited to registration, attendee communications, air/ground travel, rooming lists, food and beverage requirements, meeting space and A/V requirements, and group activities

  • Coordinates field sales sponsorship, exhibit, booth display and advocacy request process for regional exhibits and patient advocacy events, which requires data input and follow up

  • Manages external vendors, including hotels/venues, destination management companies and other logistical vendors, to ensure deliverables and timelines are successfully met to expectation

  • Ensures successful execution of meetings onsite working with internal stakeholders and vendors who provide support for meeting planning

  • Acts as the key contact for the meeting attendees and responds to inquiries, provide resolutions and manage change requests

  • Collaborates regularly with cross-functional stakeholders with focus on relationship building, customer service and problem solving

  • Ability to manage multiple projects at a given time, ensuring deadlines are met, and issues are managed as they arise

  • Develops status reports, pre- and post-event surveys, and metrics tracking to identify trends and recommend process and service improvements

  • Other duties as assigned

Requirements:
  • BS/BA degree in marketing, communications, or life sciences

    and 4+ years of relevant experience OR

  • MA/MS degree in marketing, communications, or life sciences 2+ years of relevant experience

  • Strong problem solving and conflict resolution abilities

  • Excellent listening, and verbal and written communication skills

  • Aptitude for building positive working relationships

  • Attention to detail and strong organizational skills

  • Strong problem solving and conflict resolution abilities

  • Ability to effectively manage multiple projects and vendors

  • Proven track record of successful project management

  • Flexibility to thrive in a complex and dynamic environment

  • Demonstrated proficiency in Adobe Acrobat and Microsoft Office, including Microsoft Word, Excel and PowerPoint

  • Experience with meeting planning tools such as Cvent preferred

The annual base salary we reasonably expect to pay is $99,200.00-$143,675.00. Individual pay decisions depend on various factors, such as primary work location, complexity and responsibility of role, job duties/requirements, and relevant experience and skills. In addition, this position offers an annual bonus with a target of 20% of the earned base salary and eligibility to participate in our equity based long term incentive program. Benefits offered include a retirement savings plan (with company match), paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans.
