Job Description

 

The Fundraising and Operations Associate supports the Executive Director of DMAX Foundation in the organization's fundraising and administrative functions. We are seeking a collaborative and self-directed nonprofit professional with a strong commitment to mental health, who can help grow the Foundation. This person will serve as a valued thought-partner and support to the Executive Director in charting the Foundation’s strategic development and resourcing it to advance its mission.

Responsibilities and Duties

Fundraising

  • Assist the Executive Director in developing and implementing a detailed annual prospecting and fundraising plan.
  • Participate in the planning, scheduling, and execution of fundraising campaigns, including the annual end-of-year fundraising campaign, as well as event-related campaigns, as appropriate.
  • Draft and disseminate both mass and individual emails and other promotional content, and respond to inquiries, as appropriate.
  • Develop and grow the Foundation’s donor base, including the Founders’ Circle major giving society. Track donations and issue tax and thank-you letters.
  • Serve as a contact and relationship-builder with current and potential corporate sponsors. Work with the Executive Director to manage the Foundation’s sponsorship program, including benefit packages and related promotional materials.
  • Draft grant applications and participate in other grant-related activities in partnership with the Executive Director. Track compliance with terms of grant contracts and meet deadlines for submissions.
  • Manage the Foundation’s Salesforce CRM, including customization; entering and modifying donor information, donations, accounts, and contacts; creating reports of data upon request; and manipulating the database to accommodate data and the evolving needs of the Foundation. Use other fundraising tools and platforms to support the Foundation’s fundraising activities.

Operations

  • Serve as support staff for the Foundation’s administrative functions and work with other staff, consultants/contractors, and the public to strengthen its operational infrastructure.
  • Work with the Executive Director to create the Foundation’s annual Impact Report and supporting materials.
  • Ensure the Foundation’s timely compliance with regulatory requirements, including state registrations. Assist the Executive Director in responding to inquiries and documentation requests from auditors and regulatory personnel.
  • Ensure timely bill payments and processing of invoices, as requested by the Executive Director.
  • Collaborate with team members and consultants to problem-solve, innovate, and find solutions for streamlining processes and promoting greater efficiency.

Other

  • Serve as member of the Executive Director’s management team and ensure that the Foundation remains faithful to its mission and aligned to its 5 Core Values: Vulnerability, Authenticity, Truth-telling, Solidarity and Resilience.
  • Demonstrate a strong personal and professional commitment to diversity, inclusion, equity, and justice.
  • Other duties, as assigned.

Skills and Qualifications

  • Bachelor’s Degree and 1-2 years of relevant fundraising and administrative experience, preferably in nonprofit settings.
  • Proficient computer skills and comfort with the Microsoft Office Suite (Word, Excel, PowerPoint) and the Google Applications Suite (docs, sheets, forms).
  • Experience with CRM/database, especially Salesforce.
  • Excellent written and oral communication skills with a strong and proven ability to communicate effectively and diplomatically.
  • Excellent organizational skills and attention to detail.
  • Skilled at managing multiple projects, meeting deadlines, and prioritizing.
  • Comfortable with public speaking and networking.
  • Self-starter - can work independently; an innovator who enjoys creating and implementing new initiatives.
  • Relationship-builder and the ability to serve as a team player.
  • Creative-thinking and problem-solving skills.
  • Desire to be a part of a growing and evolving organization.
  • Interest in and/or background in the mental health field.

Location: Philadelphia area, mostly remote with one day in person every 1-2 weeks.

Job Type: Full-time

Pay: $40,000.00 - $46,500.00 per year

Work Location: Hybrid remote in Philadelphia, PA
